Outlook: Microsoft is significantly upgrading with a number of new functions

Microsoft is planning several updates for Outlook with numerous new functions in May 2026. In addition to improved calendar management, users of the classic version also benefit from new features.

New functions for everyday life

Most recently, Microsoft removed an Outlook feature and got into trouble. But the company is also working on integrating new functions. While Microsoft Lite will be shutting down later this month, the other versions of the email program will be expanded in May 2026. The updates are aimed at users of the new app version as well as users of the classic version.

Historically, the program has gone through numerous changes since its release in 1997 as part of Office. The developer is currently pushing the transition to the web-based version of the application. A previous obstacle for many switchers was the lack of automatically assigned calendars. That’s exactly what’s changing now. When you switch from the classic to the new application, the data is now transferred seamlessly.

View calendar and select appointments

As the official development roadmap Microsoft reveals that the web version will also have a revised left navigation bar. In the future, the calendars of team members or superiors will automatically appear there. The system also supports third-party accounts as long as they are linked to the same organization. Users can also select multiple calendar groups at the same time. In addition to the visual adjustments, the group is implementing new tools for daily organization. A long-awaited feature is the selection of non-continuous dates in the mini calendar.

Users can now mark and manage days using the Shift or Ctrl key. There are also further detailed improvements that speed up the handling of many messages. This includes bulk editing of appointments, which includes quick copying, deleting and categorizing. In addition, one of the updates introduces expanded sorting of messages by flag status and due date. Direct export of appointments as a standardized ICS file in the web view will soon be possible without any problems.

AI assistance and sorting

Anyone who still prefers the classic desktop version of Outlook will not miss out on the wave of updates. The digital assistant Copilot is also making its appearance there. If users mark a section of text in an email, the artificial intelligence summarizes the content. Alternatively, the software provides relevant additional information about the marked passages.

Even if the delivery of the functions is still planned for the current month, the actual rollout depends, as usual, on the server-side activation by Microsoft. Planned publication dates can be postponed at short notice. Therefore, some new features may not be available on all systems until the following months. Such phased deliveries are now the standard for cloud-based services to avoid unforeseen errors in the large number of accounts.
